What the 30 minutes covers
The questions that cost the most time
We list the questions new staff ask most often, the ones senior people get interrupted with, and the ones where a wrong answer leads to rework or a compliance problem.
Where the documents live
SharePoint, OneDrive, Google Drive, Confluence, a network drive or a mix. We talk about file formats, scanned PDFs, duplicates and old versions, because those decide answer quality more than the choice of AI model.
Access and data handling
Who should see which documents, whether your current permissions already reflect that, and where an index and its answers would be stored. Nothing is copied or connected during the call.
What a pilot would test
A pilot on one document set, a list of test questions with known answers, and the accuracy your team would accept before wider use. If the documents are too thin or too messy, we will say what to tidy first.
Who should join
Someone who knows where the documents are kept and someone who fields the questions every day, such as an operations manager or team leader. If IT controls access to SharePoint or Drive, they are welcome for the permissions part of the call.
Before the call
Jot down ten questions staff asked last month and where the answer was found, if it was found at all. A rough count of documents and the main file types is useful too.
Please do not paste documents into the booking form. Describe them in general terms, and keep customer records and confidential material out of the notes.

Questions about the consultation
Is the consultation free?
Yes. The 30-minute consultation has no charge and does not commit you to a pilot.
Who will I speak with?
A consultant from the Yes AI group, the Melbourne company that builds AI Knowledge. The calendar invitation comes from the Yes AI team calendar with a video link.
Do you need access to our files for the call?
No. The call uses descriptions and examples. System access only comes up for a pilot, and only on terms your IT team agrees to.
Which times can I book?
Weekday starts between 9am and 6:30pm Melbourne time, booked two or more hours ahead, excluding Victorian public holidays. The booking calendar converts each time to your own zone, such as Brisbane (AEST) or Perth (AWST).
How is this different from giving staff ChatGPT?
A general chatbot answers from what it learned in training. A knowledge search tool answers from your own documents and should show which document each answer came from, so staff can check it.
How do I change or cancel the booking?
Reply to the calendar invitation or call (03) 9003 0111. You will get reminder emails before the call, and an SMS if you add a mobile number.
